These terms govern reservations made with Executive Worldwide Chauffeur. By requesting a quote or confirming a booking, you agree to them. Corporate clients operating under a separate signed agreement should note that the agreement takes precedence where the two differ.

1. Who You Are Contracting With
Your contract is with Executive Worldwide Chauffeur throughout. We operate our own offices, teams and chauffeurs in the markets we serve, and we handle your booking end to end — reservation, chauffeur briefing, journey oversight and invoicing. You are never handed to an outside operator, never asked to contract with anyone else, and never asked to settle locally.
2. Quotes and Confirmation
A quote is an offer based on the details you supply. It is not a confirmed booking. Your reservation exists only once we issue a written confirmation by email.
Quotes are valid for the period stated on them. If the details change — addresses, timing, passenger numbers, vehicle class, additional stops — the price may change accordingly, and we will tell you before proceeding.
3. Vehicles and Availability by Market
Vehicle models vary between countries. A Mercedes V-Class is common across Europe and Asia and rarer in the United States; a Cadillac Escalade is standard in America and less usual elsewhere. Vehicle classes on this website therefore describe a standard and a capacity, not a guaranteed model.
When we confirm your booking we will tell you which vehicles are available in that market, so you can choose the one you want or ask us to recommend the right class for your party and luggage. If a particular model matters to you, tell us at the quote stage and we will confirm availability before you commit.
Where a specified vehicle becomes unavailable through circumstances outside our control, we will supply a vehicle of equivalent or higher class at no additional cost, and will tell you in advance wherever possible.
4. Pricing
Prices are quoted in the currency stated at the time of booking and are fixed for the journey as specified. We do not apply surge pricing.
Additional charges may apply for:
- Waiting time beyond the included allowance (see section 6)
- Additional stops or route changes requested on the day
- Tolls, parking, airport access fees and permits where not included in the quote
- Extended journey time caused by changes you request
- Cleaning charges where a vehicle requires specialist cleaning after use
Any such charges will be itemised on your invoice.
5. Payment
Unless you hold a corporate account with agreed terms, payment is due as set out in your confirmation. Corporate accounts are invoiced according to the terms agreed when the account was opened, with all markets consolidated onto a single invoice. We reserve the right to require a deposit or payment in advance for high-value bookings, multi-vehicle programmes and major event dates.
6. Waiting Time
- Commercial airport arrivals — a complimentary waiting allowance is included from the time your flight actually lands, since we track your flight and adjust to it.
- Private aviation — waiting is calculated from the actual arrival time recorded for the aircraft.
- All other pickups — a shorter complimentary allowance applies from the scheduled pickup time.
The allowances applicable to your booking are stated in your confirmation. Waiting beyond the allowance is charged at the rate shown there.
7. Changes and Cancellations
We understand that travel plans move, and we accommodate changes wherever we can. Cancellation terms vary by service type, vehicle class, market and date, and the terms applicable to your booking are stated in your confirmation.
In general:
- Cancellations made well in advance of the journey attract no charge or a reduced charge.
- Cancellations close to the pickup time may attract a charge up to the full fare, because the vehicle and chauffeur have been committed.
- Specialist vehicles, multi-vehicle programmes and major event dates carry longer notice periods and stricter terms, and may be non-refundable once confirmed.
- Failure to appear at the pickup point without notifying us is charged in full.
To change or cancel a booking within 24 hours of travel, telephone us rather than emailing. Changes made by phone are actioned immediately.
8. Your Responsibilities
- Provide accurate pickup and destination details, contact numbers and flight information.
- Tell us in advance about luggage volume, child seats, accessibility requirements, oversized items or pets, so the correct vehicle is allocated.
- Be available at the agreed pickup point at the agreed time.
- Ensure passengers behave lawfully and safely, and comply with seatbelt and local traffic law.
Passenger and luggage capacities stated for each vehicle class are maximums. Where the party or luggage presented exceeds what was booked, we may be unable to carry it safely and the booking may be treated as a cancellation.
9. Conduct
Our chauffeurs may decline to begin or continue a journey where a passenger is behaving in a way that is unsafe, unlawful, abusive toward the chauffeur, or that puts the vehicle or other road users at risk. In those circumstances the fare remains payable. Smoking is not permitted in any vehicle.
10. Delays and Circumstances Beyond Our Control
We plan journeys with buffer appropriate to the route, the time of day and the airport, and we monitor flights so that arrival changes are handled automatically. However, we cannot guarantee journey times and are not liable for delays caused by circumstances beyond our reasonable control, including traffic, weather, road closures, accidents, security incidents, industrial action, or air traffic disruption.
Where a delay is caused by us, we will work with you to put it right.
11. Liability
We maintain commercial insurance appropriate to the transport we provide in each market we operate. Certificates are available to corporate clients on request.
Our liability to you in connection with a booking is limited to the amount paid for that booking, except where liability cannot lawfully be limited — including liability for death or personal injury caused by negligence, and for fraud. We are not liable for indirect or consequential losses such as missed flights, missed meetings, lost business or lost profits.
Nothing in these terms affects consumer rights that cannot be excluded under the law applicable to you.
12. Lost Property
Items left in a vehicle should be reported to us as soon as possible. We will make reasonable efforts to recover and return them, and may pass on the cost of return delivery. We cannot accept responsibility for property left in a vehicle.
13. Confidentiality
Our chauffeurs operate under confidentiality obligations covering client identity, movements and anything discussed during a journey. Corporate clients requiring specific non-disclosure terms should raise this when opening an account.
14. Data Protection
Personal information provided when booking is handled as described in our Privacy Policy, which forms part of these terms.
15. Complaints

16. Changes to These Terms
We may update these terms from time to time. The terms that apply to your booking are those in force when your booking was confirmed.
